The Barkelton Guest Pawfile & Stay Preferences

A hotel that knows its guests does not ask twice. The Pawfile is your dog's permanent record with us — the medical facts we must have, and the small preferences that make a stay feel like theirs. Complete it once, before the first visit, and every team on the property works from it: the kitchen portions to it, the spa styles to it, the night attendant turns the lights down to it. Update it whenever something changes; we keep it on file between stays.

01 The Guest

The dog themselves. Their name goes on the suite card, their weight sets meal portions, play groups and the grooming rate band.

We'll need a name for the suite card.
The name that actually gets their attention.
Approximate is fine.
Needed for portions and grooming rate.
Recorded so we can confirm identity at check-in.

02 Household & Contacts

Who we call, and in what order. The emergency contact is the person we reach if you cannot be reached and a decision needs making.

The Pawfile is held in your name.
A number reachable during the stay.
Report cards and confirmations go here.
Used for chauffeur pickup unless you tell us otherwise.
Someone other than you, please.
We need a second reachable number.
Names of anyone besides you we may release your dog to. We ask for photo ID at the desk.
Who else is at home

03 Veterinary Practice

Your own vet comes first. If they cannot see your dog in time, we use the practice minutes from the resort that is on call for us around the clock.

We need somewhere to call.
A number we can reach in an emergency.
Held on file only so a claim is not delayed. Optional.

04 Medical History

The most important section on the page. Medication is administered to your written schedule and logged dose by dose at no charge — but we can only give what you tell us about, so please be complete rather than brief.

Ongoing conditions
Send medication in its original labelled packaging. We log every dose given and hand you the sheet at pickup.

05 Vaccination Record

Rabies, DHPP and Bordetella are required of every guest on the property, without exception — it is how we keep the play halls and the pool safe for everyone. Give us the dates you have and attach the certificate; the front desk verifies with your practice before the first visit.

Guests must be current on rabies, DHPP and Bordetella. Bordetella is required within the last twelve months. Puppies under six months may attend on their second round, kept out of group play until the course is finished.

We accept a current titre where your veterinarian advises against a booster. Please attach the result below.
One file, PDF or photo, up to 8 MB. A clear phone photo of the record card is perfectly acceptable. You may also email it or bring it to the desk.

06 Temperament & Social

There is no wrong answer here and nothing disqualifying. A dog who would rather not meet anybody gets a quiet wing and private enrichment, and has just as good a stay as the one who wants to be in the middle of the play hall.

A known history is not a refusal. It means a single handler, a quiet wing and no group play — which is a perfectly good stay.

07 Stay Preferences

The hospitality half of the Pawfile. None of it is required and none of it costs anything — it is simply how the suite is set up before your dog walks in, so the room already suits them on the first night rather than the third.

Bed
Blankets
Overnight lighting
Sound
Wake-up
Turndown service

Swimming
A free fifteen-minute assessment on the splash shelf settles this before a first group session. How pool time works.
Pool Therapy
One-on-one hydrotherapy in 92°F water. Written veterinary clearance is required before the first session — a referral for post-operative work. Read the requirements.
Labelled at check-in and goes home with them. We'll photograph it so nothing gets mixed up.
SuiteView is included from the Presidential tier up; PoolView and PlayView come with every stay. See the cameras →

08 Grooming & Dining Preferences

Kept on file so you never have to brief the spa or the kitchen twice. Selecting a package here records your preference; it is charged only when you actually book an appointment or a stay.

Usual grooming package
Standing spa add-ons
Kept on your dog's style card so every visit matches the last. Photos welcome at the desk.

The most useful box on the page. Tell us the thing you would mention to a house-sitter on the way out of the door.

No charge, and no reservation is made. The Pawfile is held on file and reused for every visit.

Next Step

Pawfile in. Now pick the suite.

With the Pawfile on record, booking takes about a minute — dates, a suite tier, dining and anything you'd like added. Everything on this page carries across, so you will not be asked for it twice.
